Role Description

The Canadian Cardiovascular Society (CCS) is seeking a Digital Platforms Coordinator for an integrated role supporting both the Business Systems and Communications teams. This role is responsible for the day-to-day coordination of the CCS & Canadian Cardiovascular Foundation (CCF) websites, CCS member portal, and related digital platforms, with a focus on content management, data accuracy, user support, and system administration.

Core Tasks and Activities

• Business Systems
  • Managing updates and changes to the CCS member portal (iMIS Rise).
  • Maintaining contact data to ensure information stays accurate and current:
    • Monitoring and reporting on newsletter subscriptions/unsubscribes (iMIS and Constant Contact);
    • Supporting data corrections for bounced emails;
    • Monitoring and updating data to resolve duplicate accounts.
  • Conducting mass data updates after new events or changes to existing lists.
  • Monitoring and resolving account issues such as lockouts, incorrect permissions, and access errors for (iMIS Rise) page content.
  • Implementing controls and procedures to prevent data corruption or inconsistent records, and documenting standards for data entry and system use.
  • Creating documentation and short training videos for iMIS processes for staff users.
  • Other duties as assigned.
• Communications
  • Accountable for the day-to-day administration, maintenance, and improvement of the CCS and CCF websites in WordPress, serving as the main point of coordination for website content and updates:
    • Manage website changes across content, navigation, layout, and page structure to keep the site accurate, user-friendly, accessible, and aligned with CCS priorities;
    • Coordinate incoming website requests, prioritize updates, and work with internal teams to deliver content and enhancements efficiently and consistently;
    • Maintain website standards and governance, including formatting, page structure, content organization, link integrity, and publishing workflows;
    • Identify opportunities to improve user experience (UI) and content performance, and recommend practical enhancements based on analytics and stakeholder needs;
    • Support website projects including campaign pages, content migrations, and future redesign or optimization initiatives.
  • Support the communications team in formatting and distributing email marketing campaigns and newsletters.
  • Track and report monthly metrics for website(s) and email marketing campaigns.
  • Other duties as assigned.

Qualifications

• Post secondary diploma or degree, or equivalent.
• Minimum of three (3) years of experience related to website updates, email marketing platforms, and database usage.
• Excellent written communication skills and knowledge of CASL and PIPEDA.
• Excellent knowledge of Microsoft Office programs including MS Word, Excel, Planner, PowerPoint, and Teams and familiarity with web-based applications.
• Website updates (WordPress).

Requirements

• Experience using artificial intelligence and automation tools to streamline and enhance newsletter production is considered a strong asset.
• English/French bilingual proficiency.
• Simple graphic design using Canva.
• Data analytics reporting (Google) and digital communications tools.
• Database management (iMIS).
• Email marketing platforms (preferably Constant Contact).
• Interpersonal skills.
• Self-motivated and proactive, with the ability to work independently, navigate ambiguity, and drive initiatives forward.
• Strong project coordination.
• Demonstrated strong organizational skills, attention-to-detail and time management are essential as the role reports to two departments.
• Excellent judgement, high degree of professionalism and attention to details.
• Understanding and desire to maintain quality data.

Working Conditions

• The CCS is a fully remote organization.
• Flexibility to periodically work irregular hours and to travel within North America (up to 10 days/year) is required.
