Role Description

The Contract Services Coordinator assists with planning and coordinating assigned service contracts. Responsibilities include:

• Reviewing contract agreements to ensure contracted services are provided.
• Assessing service quality to ensure compliance with university policies, state and federal laws, and contract specifications.
• Administering, extending, negotiating, and terminating standard contracts.
• Preparing contract documents, amendments, and other documents related to specific projects or services.
• Inspecting work quality and reviewing agreements to ensure compliance with contract requirements.
• Routing documents for internal approval and external signature.
• Ensuring routing approvals and executed documents are uploaded to the department’s project management information system.
• Reviewing contract request documentation for completeness.
• Reviewing certificates of insurance to verify compliance with contract requirements.
• Communicating with project managers, consultants, architects, and contractors to obtain necessary information.
• Assisting new vendors with procurement process requirements.
• Liaising with customers to discuss and address service issues.
• Identifying possible impacts or outcomes and presenting recommendations.
• Maintaining contract logs and tracking master agreement expiration dates.
• Issuing amendments to extend contract documents.
• Developing and maintaining an internal database system to monitor and track contract services activity.
• Maintaining statistical information regarding contract services and generating reports as needed.
• Promoting an environment that fosters inclusive relationships and creates unbiased opportunities.

The salary range for this position is $46.00 - $49.00 per hour.

Qualifications

• 5 years of combined experience/education as a substitute for minimum work experience.
• Ability to comprehend contract language.
• Experience in facilities maintenance and contract administration.
• Demonstrated skill and ability to draft requests for proposals and contractual agreements.
• Customer service experience.
• Proficiency with relevant scanning/imaging applications (e.g., Adobe Acrobat Pro).
• Excellent written and oral communication skills.

Requirements

• Minimum Education: Associate's degree.
• Minimum Experience: 3 years.
• Additional Education Requirements: Combined experience/education as a substitute for minimum education.
• Additional Experience Requirements: Combined experience/education as a substitute for minimum work experience.
