Role Description

US Job Finders is seeking a technically strong, project-minded Business Systems & AI Automation Specialist to join a fast-growing U.S.-based recruitment and RPO firm. The company runs on Claude, and it needs one person to own its technology stack and use Claude to keep improving it.

This role has two equally important parts:

• Own and maintain the company's existing systems, including ATS, training platform, IT partner relationships, and Pipedrive CRM.
• Design and build AI tools and automations with Claude that remove manual work across the team.

This is not a "wait for a ticket" IT role. The ideal candidate thinks like a project manager and consultant, working closely with recruiters, salespeople, and leadership to identify and solve problems.

This role reports directly to the CEO and has a real hand in shaping how the company operates in the future.

Qualifications

• Proven experience administering business systems such as ATS, CRM, and other SaaS platforms.
• Hands-on experience designing and building AI tools and automations with Claude (Claude, Claude Code, and/or Claude agents).
• Experience integrating systems and automating workflows between platforms (APIs, webhooks, integration tools).
• A strong project management mindset: able to scope, plan, prioritize, and deliver multiple initiatives.
• Excellent communication skills, including drawing information out of non-technical team members and turning it into clear requirements.
• Fluent English and prior experience working with U.S.-based companies and teams.
• Able to work during U.S. Eastern Time business hours.
• Strong troubleshooting and problem-solving skills.
• Self-directed, with a sense of ownership and the ability to work independently in a remote environment.
• Able to explain technical concepts in simple, practical terms.

Requirements

• Experience with Pipedrive administration and automation.
• Experience with ATS platforms in a recruiting, staffing, or RPO environment.
• Experience connecting data or automating reporting with QuickBooks.
• Experience building automations for email and mailbox workflows.
• Experience managing training or learning management platforms.
• Experience with integration and automation platforms such as Zapier, Make, or n8n.
• Scripting or development experience (e.g., Python, JavaScript).
• Previous experience in a systems, automation, or AI implementation role for a small or mid-sized business.

Your First 90 Days

• First 30 days: Learn the business, audit and document the current tech stack, meet with each team to understand their workflows, and fix urgent system issues.
• By 60 days: Deliver priority system fixes and improvements, and launch your first Claude-built tool or automation.
• By 90 days: Deliver a prioritized technology and automation roadmap, with several automations live and in use by the team.

Working Hours

Full-Time – U.S. Eastern Time business hours. This is a full-time, 100% remote position.

• The company's systems (ATS, Pipedrive, training platform, and IT partners) run smoothly and are well documented.
• Problems are found and fixed quickly, without leadership having to chase them.
• The company's tools work together as a connected system instead of separate platforms.
• Claude-built tools and automations are live, reliable, and actually used by the team.
• Reporting, including QuickBooks-related reporting, is automated and no longer depends on manual work.
