[Hiring] Operations Manager @Creating Positive Futures

This job is NOT for you if you aren't comfortable with going from building out automations in Zapier one minute to holding people accountable, managing projects, and driving results forward the next minute.

This is NOT for you if you don't love having high-level conversations with founders (and having to say “not right now” to some of their big ideas).

• Loves managing and running a team, and developing management processes that make delegation + producing results a seamless process
• Enjoys building systems & processes, bringing order to chaos, and looking for the most efficient ways to get things done
• Is great at setting up new software, automations, and SOPs that streamline processes and help take the business to the next level
• Is a “numbers person” who gets pleasure out of reviewing the data and making sure everyone on the team is on track to hit their KPIs

We are an Academic & ADHD coaching practice that was founded in 2013 to help teens and young adults earn better grades with less stress by improving their mindset, organization, time management, and study skills. We are a small, close-knit team that is committed to supporting and encouraging each other to grow personally and professionally.

This is a part-time W2 role that will evolve into full-time over the next 6-12 months.

Responsibilities Include:

• Team management
  • Meeting with team members for consistent 1:1s for performance management
  • Solving day-to-day issues & bottlenecks in the company
  • Serving as the go-to point of contact when the CEO is out of the office
• Process & System Management:
  • Documenting SOPs & helping the team complete SOPs for their department
  • Creating & maintaining a master SOP playbook for the company & updating this on a regular basis
• Accountability and KPIs:
  • Helping the CEO create & maintain a KPI dashboard for the entire business
  • Helping team members stay accountable for their KPIs, helping them remove obstacles in the way of hitting their KPIs
  • Making sure that goals & KPIs are accurate, realistic & achievable for the business
  • Keeping the company on track to reach the goals
• Project Management:
  • Creating project plans for new initiatives, managing them in Asana and holding team members accountable for deadlines
• Company Growth:
  • Identifying areas in the business to increase revenue and profit by analyzing company expenses, offer suite & systems to ensure we are working at maximum efficiency
  • Tracking numbers & using data to help the CEO make decisions to drive the company
• Automation & Streamlining:
  • Identifying areas in the business that can be automated and creating automations in Zapier +/or other platforms to solve the problems as needed
• Day-to-Day Activities:
  • Overseeing client payments & billing

Results:

• Maintain company profit margin at KPI

Requirements

• 3-5 years as an operations manager in a coaching or other service-based business
• Advanced knowledge of technology such as Zapier, Asana, Slack, CRMs, etc.
• Able to create workflows in Lucid Chart (or other similar software), map out systems & build them in the company
• Experience delegating & managing teams
